Job Description

Position Summary / Objective

Front Desk Receptionist / Administrative Assistant performs routine clerical and administrative tasks, including answering telephones, greeting the public, providing customer assistance, processing data, and maintaining records.

Essential Functions (Duties and Responsibilities)
  • Receives visitors in a courteous and professional manner.
  • Assists all visitors and clients registering on the electronic sign-in system.
  • Announces and directs all visitors and clients appropriately to the appointed host.
  • Distribute and retrieve temporary key cards to authorized visitors or maintenance personnel.
  • Takes accurate messages and distributes or posts appropriately.
  • Receives UPS, FedEx, and other deliveries, notifying the recipient or delivering to individual offices as necessary.
  • Maintains the lobby brochures and other informational written material and meets regularly with the contact person from each SUS program to ensure the information is up-to-date and accurate.
  • Always projects a positive and professional image to the community.
  • Assists with photocopying, assembling materials, and other clerical tasks as assigned.
  • Creates labels for client files and other labels as needed

Attends all required meetings, conferences, training, and workshops in a punctual, professional, and contributory manner.

Follows all agency policies and procedures.

Maintains security by following established procedures.

Notifies supervisor immediately of safety concerns.

Participate in Agency activities as required.

Performs other duties as assigned.

Education and Experience Requirements
  • High School Diploma or GED.
  • Three (3) Years of receptionist experience preferred.
  • Bilingual Required.
Training Requirements
  • Position-specific training and other training as deemed necessary.
Specific Knowledge, Skills, and Abilities Required
  • Must be Bilingual (Spanish/English)
  • Must have excellent oral and written communication skills in both English and Spanish.
  • Must have basic skills working in a Microsoft Windows environment and be able to learn the Agency software within one month of hire.
  • Must have the ability to read and interpret documents such as safety rules, operation instructions, and procedure manuals.
  • Must be sensitive to the needs of the low-income community; demonstrate cultural competency skills, including an understanding of the impact of poverty on families.
  • Must be highly organized, accountable, dependable, and able to work independently
  • Ability to be objective and empathetic with a high degree of tolerance and respect for people
Licenses/Certificates/Screenings
  • Must have a valid Florida Drivers License.
  • Must have reliable transportation for work-related travel, including nights and out of town.
  • Must be insurable under SUSs organizational policies.
  • Pre-employment drug screening required.
  • Must pass a Level II criminal background check.
  • Must agree to ongoing random drug/alcohol screening.
Physical Demands
  • While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit, stand, walk, use hands to finger, handle, or feel, and reach with hands and arms.
  • Must be able to lift and or move up to 30 pounds.
Work Environment
  • The work site is typically an open reception or waiting area, and the noise level can be moderate to loud.
Expected Hours Of Work

Hours of work and days are typically Monday through Friday, 8:00 am to 5:00 pm. Employees may be called upon outside these hours to attend other functions of the position or agency as needed.

Travel

Local travel to agency meetings and training. Position-specific.
